Team
Roles & permissions
Four fixed roles: Owner, Manager, Front desk and Provider. Here is exactly what each one can do.
Note
Logins for your team, and the roles below, come with the Booking and Front Desk plans. On Free and Website, the Owner is the only login.
The roles
| Role | For |
|---|---|
| Owner | The business owner. Everything, including billing, payments and ownership. |
| Manager | Runs the shop day to day. Everything except billing, connecting payments and ownership. |
| Front desk | Books for everyone and handles messages and clients. No settings, results or money. |
| Provider | Takes appointments. Sees their own calendar and their own clients. |

What providers see
A provider’s own clients are anyone with an appointment on their calendar (past or future), or who has them as their usual team member. Providers also:
- see only their own column on the calendar and on Today;
- don’t see money amounts;
- see nothing on the calendar until their login is linked to a calendar.
Two switches in Settings → Team & hours → What providers see:
| Switch | Default |
|---|---|
| Hide client phone numbers and emails | On |
| Providers can answer their clients’ messages | On |
Adding a login
Go to Settings → Team & hours → Who can sign in and choose Add a login.
Enter their email, choose a role, and optionally link their calendar.
One calendar can be linked to one login.
They get an invite by email
“You’ve been invited to join” your business, with a link. They accept it by signing in to Tornaly with that same email address (with a code) and choosing Accept invite. A forwarded link is no use to anyone else.
Invites waiting to be accepted
- An invite link works for 7 days. Until it’s accepted, the person shows under Waiting to accept with the date the link stops working.
- Resend sends a new link that works for another 7 days — also for an invite that has expired.
- Revoke withdraws the invite. Opening a revoked or expired link says so.
Rules
- Owners can give any role. Managers can add and manage Front desk and Providers only.
- A business always has at least one Owner. You can’t remove yourself.
- Removing a login keeps the person’s calendar and history. They lose access straight away, on every device.
- Every change to logins and roles is recorded.
Note
One person can belong to several businesses and switch between them from the sidebar.
Chair renters who collect their own payments connect their own Stripe account from their login. See Chair renters.
