How “due” is calculated
Each client has their own rhythm. A regular who comes every three weeks is due sooner than someone who comes every six.
The basics
- Only services with Clients usually come back every … weeks set are tracked (Settings → Services & prices). Starter services come with typical intervals — for example 4 weeks for a haircut.
- Everything is counted from the client’s last completed visit.
The client’s own rhythm
- Visits less than 7 days apart count as one visit.
- With 3 or more visits, we take the typical gap between their visits (the middle value of their last 6 gaps, over up to 2 years).
- That gap is kept between half and double the service’s interval, so one odd gap can’t throw it off.
- With fewer visits, the service’s interval is used.
Due date = last completed visit + their rhythm.
Example: the haircut interval is 4 weeks. Jordan’s last gaps were 20, 22 and 21 days, so their rhythm is 21 days. Their last cut was on the 1st, so they’re due on the 22nd — a week earlier than the service interval would say.

The Customers list and the Comebacks page use the same due date and the same stages, so a client reads the same on both. The Due back filter on Customers shows the clients who are Due or Overdue.
Who is skipped
- Clients who already have an upcoming appointment.
- Blocked clients, and clients you excluded from comebacks.
- Clients with no permission to be messaged, and clients who said no to marketing or texted STOP. They are never put in the queue — see Consent.
- Imported clients, until you review them on the Comebacks page.
