Import clients

Bring your client list — and, if you like, your upcoming appointments — over from the app you use now, so the assistant knows your regulars and Comebacks starts on day one.

Open Customers → More → Import clients (Owner and Manager), or Import your clients on the Today setup list.

Where your list can come from

Files can be CSV, Excel (.xlsx) or vCard (.vcf), up to 10 MB and 20,000 rows. The import page shows these steps for the app you pick.

How it works

  1. Upload

    We recognise which app wrote the file and match its columns to ours. A name, phone or email is enough; a Last visit column lets Comebacks start right away.

  2. Check the columns

    Change any match that looks wrong, and say whether dates like 03/04/2026 mean March 4 or 3 April.

  3. Preview

    Row by row, what will happen: new client, already on file, skipped (and why), possible duplicate, and who can get comebacks. Nothing is saved until you press Import.

  4. Import

    It runs in the background — you can leave the page — and ends with a summary.

What an import never does

  • Merge records. A row that matches a client you already have only fills in details that are empty there (email, last visit, usual person), and only if you tick Fill in missing details on clients you already have. Nothing is overwritten. A row that only might be someone on file (the same email, or the same full name with a different number) is added as a new client and flagged as a possible duplicate.
  • Trust a phone number. Imported numbers count as typed by your team, never as proven. See Identity & matching.
  • Re-add people who asked you to delete their data.
  • Fill your calendar with history. Last visits are kept as past visits on the client’s profile, so they are due back on the right date. They never show on the calendar, take up anyone’s time, or count in Results.
  • Opt-outs in your file are recorded as opt-outs, and a “no marketing” answer is kept on every channel.
  • Some apps (Square, for example) only export an email subscription status. By default an email unsubscribe means no promotions on any channel. If you know those clients are fine with texts, tick Clients who unsubscribed from email may still get texts while checking the columns; the preview then says “Unsubscribed from email · texts allowed”.
  • A client whose last visit was under two years ago can get service messages and comebacks on WhatsApp and SMS until two years after that visit (your existing relationship with them), unless the file says they don’t want marketing.
  • Everyone else is imported but never sent promotions.
  • Nobody you import gets a comeback until you review them. The Comebacks page shows how many imported clients are due and the first message; choose Let Comebacks invite them when it looks right. See Turning comebacks on.
  • If your file doesn’t say who a client usually sees, we don’t guess: their comeback offers times with anyone and names nobody.

Upcoming appointments

Choose Upcoming appointments instead of Clients to bring over bookings already made. A date, a time and who it’s for are needed; service, person and length help. Past, cancelled and clashing appointments are skipped.

Important

Imported appointments get no reminders until you check them. After the import, review them in the calendar, then choose They look right, turn reminders on.

Undo

Open the import under Past imports and choose Undo this import…. Clients it added are removed, unless they have booked or messaged since; details it filled in go back to how they were. Opt-outs stay.

Import is free on every plan, including Free.
