Calendar
One calendar for your whole team: bookings, holds, requests, walk-ins, breaks and time off.
Views
Day and Week, with one column per person. On phones, the day view has a 7-day strip to jump between days. Providers see only their own column (and shop closures).
The sidebar collapses to a narrow strip of icons with its arrow button or the [ key, so the calendar gets more room. That’s remembered on this device.
The new layout
On a tablet or computer, Try the new layout in the calendar’s toolbar turns on a roomier calendar. It’s remembered per device, so the front-desk tablet and your laptop can differ. You can also switch it on or off with New calendar layout in Settings → Preferences or your account menu. To go back, choose Display → Switch back to the classic layout.
The new layout adds:
- Focus mode. Expand (or press F) lets the grid fill the screen, with Block time, Walk-in and Book still in reach. Exit focus or Esc leaves it.
- Display options: zoom (Compact, Default or Large), columns (Fit everyone or Readable), colour by person or by service, and for the week, a time grid or a list.
- Key: what the colours, status chips and icons on screen mean.
- “2 off today”: people who aren’t working and have nothing booked fold into a narrow strip, so the people who are working get the width. Tap it to show their columns again.
Keyboard shortcuts
Press ? anywhere in the app to see the list. Shortcuts are single keys, and they never fire while you’re typing or while a dialog is open.

If they get in the way — with speech input, for example — turn off Single-key shortcuts in the ? list or in Settings → Preferences. That choice is remembered on this device.
What’s on it

| On hold / deposit due | Kept for a client who is deciding (10 minutes) or paying (30 minutes). Released automatically if they don’t. |

| Blocked, Time off, Shop closed | Nobody can book this time. |

No double-bookings
Two appointments for the same person can never overlap — including prep and clean-up time. This is enforced by the database itself, so even two clients grabbing the same time at the same second can’t both get it. The second sees “That time was just taken”.
Adding and changing bookings
- New booking: pick an existing client, a new client (name and mobile), or a walk-in with no record. It’s confirmed straight away. Online limits like minimum notice don’t apply to your team.
- Walk-in: finds the first person free from 10 minutes ago to 15 minutes from now. If nobody is free, it says so.
- Log a past visit: use Show earlier times in the new-booking sheet.
- Reschedule, Cancel, No-show: from the booking sheet.
- Approve / Decline a request. Approving asks for a deposit if one is due; declining frees the time.
- Book outside normal hours (Owner and Manager): ignores working hours and time off, but still can’t overlap another appointment.
Tip
To move an appointment, use Reschedule in the booking sheet.
Blocks, time off and closures
Use Block time on the calendar:

Each can be all day (one or more days) or a time span, with an optional reason only your team sees.
Important
Adding a block never moves or cancels existing appointments. The Block time sheet lists any appointments already in that time before you save (“Block anyway”), and again afterwards so you can move or cancel each one.
Conflicts
A Conflict badge appears when:
- time off or a block was added over a booking (“Move it or let the client know”);
- a booking overlaps another booking;
- a booking is outside working hours (booked outside normal hours, or hours changed later).

Calendar feeds
See your bookings in Google, Apple or Outlook Calendar. In Settings → Preferences → Your bookings in your phone’s calendar, choose Get link, then add it with the Apple Calendar or Google Calendar button, or Copy link for another app.
- Everyone whose login is linked to a calendar gets a link for their own bookings and time off. People who see every calendar (Owner, Manager, Front desk) also get one for the whole shop and one for each person.
- Events show the service and the client’s short name (“Haircut · Ana R.”) — never phone numbers or emails.
- A feed covers the last 30 days and the next 6 months. Requests waiting for approval show as tentative.
- It’s read-only: make changes in the calendar here.
- The link is private. Reset link stops the old link working — calendars subscribed to it stop updating — and gives you a new one.
Note
Google Calendar refreshes subscribed calendars only every 12–24 hours; Apple Calendar as often as you choose. Same-day changes always show here first.
