Payments
Deposits flow
Exactly what happens from the moment a client picks a time to the money arriving in your bank.
Step by step
The client picks a time
The assistant holds it for 10 minutes while they confirm.
A deposit is due
The booking becomes Awaiting deposit and the time is held for 30 minutes (change it in Booking rules → Advanced).
The client gets a payment link
A secure Stripe checkout page for “Deposit — Haircut”, in your business’s name and currency (CAD in Canada, USD in the US). The link is always included in the assistant’s reply.
They pay
Stripe tells us right away. The booking becomes Confirmed and the client gets “Deposit received — you’re booked ✓”.
Stripe pays you out
On your account’s normal payout schedule.
Edge cases
| What happens | Result |
|---|---|
| They don’t pay in time | The hold ends, the booking is marked expired, and the time opens up again. |
| They close the payment page | Nothing changes until the hold ends. They can go back and pay while it’s still held. |
| They pay after the hold ended, and the time is still free | The booking is confirmed anyway. |
| They pay after the hold ended, and someone else took the time | The deposit is refunded in full automatically, and your team is told. |
| They pay twice, or for a cancelled booking | Refunded in full automatically, and the client is told. |
| They pay with a slower method (like a bank debit) | The booking confirms once Stripe says the money arrived. |
Note
Stripe payment pages stay open for at least about 30 minutes, so a client can occasionally pay a little after a 30-minute hold — which is why the “after the hold” rows exist.
Sending the link yourself
Open the booking on the Calendar and use Copy payment link. Approving a request that needs a deposit also sends it.
After the appointment
Cancellations, no-shows and refunds are covered in Cancellations & no-shows.
